Your daily guide to OrderFlow

Everything you need to know to use the portal effectively every day.

Start of Day Routine
  1. 1 Log in at https://gobunny.ai/ using your GoBunny AI email.
  2. 2 Check your Dashboard — the "Needs Attention" section shows overdue and due-soon orders.
  3. 3 Open your Notifications tab and read any overnight reminders or priority messages.
  4. 4 Review any orders assigned to you that need a status update.
Adding a New Order
  1. 1 Click Add New Order in the left menu.
  2. 2 If you have the PO as a PDF: click the upload zone, select the PDF. Gemini AI will fill all fields automatically.
  3. 3 If no PDF: fill in PO Number, Supplier, Due Date, and add line items manually.
  4. 4 Set the Priority (Urgent/High/Medium/Low) and Assign To if needed.
  5. 5 Click Save Order. Done — the order is now live in the system.

Updating an Existing Order
  1. 1 Go to View & Manage Orders.
  2. 2 Find your order using the search bar (PO number or supplier name).
  3. 3 Click the 👁 eye icon to open the order detail panel on the right.
  4. 4 Click Update Status to change the order stage.
  5. 5 Enter tracking numbers, expected ship dates, or add notes in the comment box.
  6. 6 For editing full details (dates, line items, etc.) click the ✏️ pencil icon.

Understanding Order Statuses
  1. 1 Received — PO has arrived, not yet processed.
  2. 2 Processing — Team is working on fulfilling the order.
  3. 3 Partial Dispatch — Some items have shipped, others pending.
  4. 4 Dispatched — All items shipped, awaiting delivery confirmation.
  5. 5 Delivered — Order received at destination. Mark this when confirmed.
  6. 6 On Hold — Order paused (waiting for approval, stock, etc.).

Managing Notifications
  1. 1 The bell icon in the top bar shows your unread count.
  2. 2 Reminders are sent automatically — you don't need to set anything up.
  3. 3 Click any notification to mark it as read.
  4. 4 Priority notifications (with ⚡ badge) need immediate attention.
  5. 5 If you've missed something, the Dashboard "Needs Attention" section always shows critical orders.

Sharing an Order Externally
  1. 1 Open the order detail panel (👁 icon in the orders table).
  2. 2 Scroll to the External Share Link section at the bottom.
  3. 3 Click the 📋 copy button to copy the link.
  4. 4 Send this link to your supplier or external procurement contact.
  5. 5 They can view order status, line items, and tracking — without needing a login.
